Job title: Fundraising Event & Marketing Coordinator
Status: Hourly (non-exempt)
Reports to: Senior Development Director
Salary: $20-$26 per hour

Job Summary


The Events and Marketing Coordinator is responsible for the development and management, implementation, and evaluation of The Zoo Society and Northwest Trek Foundation fundraising events, sponsorship and corporate partners program. This position will work together with The Zoo Society and Northwest Trek Foundation Board of Directors, Zoo Society staff, committee volunteers, outside vendors, and internal constituents to ensure that revenue and event goals are achieved. 

About The Zoo Society and Northwest Trek Foundation


The Zoo Society is a 501(c)(3) non-profit fundraising organization that supports the mission of Point Defiance Zoo & Aquarium by providing financial and in-kind resources for the Zoo’s recreation, education and conservation programs, its animal collections, and its permanent and temporary exhibitions.
The Northwest Trek Foundation is a Washington State registered 501(c) 3 non-profit organization that promotes conservation, education and recreation to a regional and national community through the unique display of Pacific Northwest native wildlife in their habitats at Northwest Trek Wildlife Park in Eatonville, Washington.

Key Responsibilities

Event Management 

• Create sustainable event plan in alignment with annual budget and expenses for both organizations 

• Manage, coordinate and implement annual fundraising events for both organizations o Budgeting, logistics, volunteer recruitment and management, auction procurement 

• Develop and implement Event Sponsorship (NW Trek Foundation) and Corporate Partners (Zoo Society) programs at both locations to build support 

• Manage and Coordinate Board Event Committees to support needs associated with the event plans 

• Manage event platforms to reach revenue and budget goals 

Marketing Coordination 

• Develop a comprehensive content strategy plan for the organization that includes Facebook, Instagram, etc. 

• Create, schedule, and plan media releases for the organization 

• Develop themes for social media posts, campaigns and promotions in alignment with organization goals/events o Schedule posts on platforms 

• Manage and update organizations website content in collaboration with contracted website host 

• Manage project timelines of events and marketing needs and communications in collaboration with parent organization (Zoo) 

Creativity and Graphics 

• Develop themes/graphics to support events both online and in print with contract graphic designs or in-house tools 

• Work with Zoo/Trek Marketing team, when needed, for photo/video assistance

Qualifications

• Bachelor’s Degree preferred 

• Minimum 3-5 years demonstrated event management experience within a non-profit environment preferred 

• Minimum 3 years’ experience running an auction both in-person and/or online 

• Minimum 1 years’ experience with a CRM donor management system, Bloomerang preferred 

• Microsoft Office proficiency required 

• Experience with graphic design tools such as Canva, Photoshop, etc. 

• Advanced level proficiency and experience with word processing, spreadsheets, and other related business management software, mail merge, form creation, etc. 

• Highly developed interpersonal skills, curious, an affinity for both establishing and managing relationships, and demonstrated high level of confidence and poise – and likes having fun 

• Team-oriented, willing to step in and help wherever/whenever needed to support the organization and be comfortable in a small staff environment 

• Must be able to work under pressure, anticipate project needs, discern work priorities, assess problems, develop solutions, and deploy limited resources effectively and independently 

• Ability to be nimble in an ever-changing, small office environment 

Physical Factors/Working Conditions

• Indoor office environment with the possibility of remote access option with supervisor approval 

• Occasional use of personal vehicle, with mileage reimbursement

• Medium lifting of supplies, chairs, tables, etc. (~45 lbs) 

• Involves non-regular hours for monthly Board meetings and 2-4 special events per year, which may involve weekends 

• Proof of Covid-19 vaccine by a pharmacy or healthcare provider required

Compensation and Benefits

This position is an hourly, non-exempt hourly position. Compensation range is $20-$26 and is dependent on qualifications and experience. Benefit package would include: medical, dental, employee assistance, 403(b), paid holidays, sick leave and paid time off.
